A dental caller has four questions. Three of them are about plumbing.
Medical and dental tenants qualify space on infrastructure before they qualify it on anything else, which makes their calls unusually easy to handle well and unusually frustrating to handle badly. They ask precise questions and a message taker cannot answer any of them.
What they ask
- Is it second generation medical or dental, and how many operatories or exam rooms are built out?
- Plumbing and vacuum. Whether the lines are still in the floor is frequently the entire deal on a dental suite.
- Parking ratio, and whether the ratio supports a practice with staff plus patients turning over.
- ADA and restroom compliance in the suite, since a practice cannot open without it.
A caller who gets those four answered on the first call books a tour. A caller who gets a callback promise calls the next listing, because there are only so many second generation dental suites in a submarket and they are all being looked at by the same people.
Who is calling
Often the practitioner, not a broker or a manager, and often between patients. That is a narrow window, and it explains why the same phone number gets three attempts in one afternoon and then nothing for a week.
Also common: a practice manager gathering options for a doctor who will make the decision. Capturing who the decision maker is, without making it an interrogation, is worth doing.
Keep the answers factual
The line should say what the space physically has and stop there. Whether a use is permitted, what a landlord will contribute to a buildout, and anything touching a lease term belongs with the broker. That is a rule worth setting explicitly when the line is configured, and it is the default.
Facts about plumbing and operatory counts are safe, checkable, and exactly what the caller wanted. Everything else waits for you.

Practice type, current location and whether a lease is expiring, room count needed, timing, and a number that reaches the decision maker. That is a text that tells you whether to call back in ten minutes or tomorrow.
